Today’s projects involve intricate data manipulation and shortened time lines. Advances in technology have allowed customers to adjust offerings to enhance revenue and accommodate patron needs. This complex environment requires a project management mentality to deliver successful results.

The WW&L All Access Packet sets forth our All Access Approach to handling your project. It provides basic information about the process we will go through together to manage your project to a successful outcome. In our world, there is no room for failure. The first game is when the first game is. Opening day is opening day. You expect your product to be produced according to your specifications and delivered on time to the right person or place, and you have every right to expect that. This All Access Approach is how we partner together to guarantee those results.

Comprehensive Schedule

In order to guarantee accurate and on-time delivery of your project, we will work together to establish a comprehensive schedule for each project. We use this schedule to allocate resources and plan production processes. These dates are critical to the successful execution of the project. Below is a description of the dates that will be established by you and your WW&L project team. These dates will be reviewed with you in the initial project meeting and adjusted as necessary. The finalized schedule will be emailed to you by your Account Manager.

The purpose of this meeting is to collaborate with key team members from both organizations to discuss the project scope and production schedule.

Art Call
Art Call

This call connects your WW&L Programmer with your data team to discuss project details, complexity and data submissions.

Data Call
Data Call

This call connects your WW&L Programmer with your data team to discuss project details, complexity and data submissions.

Complete Artwork to WW&L
Complete Artwork to WW&L

The date complete, production ready artwork is required from you to meet the agreed upon schedule. Art files are submitted to WW&L’s secure FTP customer site, available only to you for access.

First Proof to Customer
First Proof to Customer

Date art proof will be sent out to you. Most proofs will be generated digitally in our soft proof system. WW&L also provides hard copy proofs where color critical approvals are required.

Revisions to WW&L
Revisions to WW&L

Date artwork corrections and / or revisions are submitted back to WW&L.

The date second art proof will be sent out approval.

Test Data File
Test Data File

In our initial project meeting we will work with you to establish dates for you to provide your data files. Multiple data file dates are often scheduled to accommodate your needs. Data files are submitted to WW&L’s secure FTP customer site, available only to you for access.

Art Approval Received
Art Approval Received

WW&L receives approval for production on Artwork. The final art approval date is key to staying on track with the production schedule.

The date you receive a report back detailing the test data file you submitted.

The date files are to be received. In our initial project meeting we established dates for you to provide your data files. Multiple data files are often scheduled to accommodate your needs. Data files are submitted to WW&L’s secure FTP customer site, available only to you for access.

Direct Connect® Specifications
Direct Connect® Specifications

Fulfillment specifications will be finalized with your Account Manager to ensure the accuracy of all fulfillment aspects including, package configurations, collateral materials and shipping carrier method. A schedule adjustment will be made for personalized inserts, unless printed by WW&L.

Data File 1 Report
Data File 1 Report

The date you receive a report back detailing the data file 1.

Data Proof Date
Data Proof Date

The date Data Proofs will be sent to you. These will be uploaded to WW&L’s Secure FTP site and are password protected. Data proofs are available for the review of accuracy of variables and positioning prior to print.

Inserts to WW&L
Inserts to WW&L

The date all collateral materials are required to arrive at WW&L’s facility. Generic inserts can arrive up to 5 days before the scheduled ship date.

Ship Date
Ship Date

The date your final product will leave WW&L’s facility, based on final art approval dates and data lines. Ship dates will be established for each data file transmission received.
